PDF service terms

What you agree to when you order PDF repair from us. They sit alongside our Terms of use and our Privacy policy.

Who you deal with

PDF repair is sold by Accessible Index, a trade name of Dynamosys Inc., a Virginia corporation (“we”). You accept these terms when you check the box on the order page. Our Terms of use and Privacy policy apply too; where they differ on PDF repair, these terms apply.

What you send us

  • Send only documents you have the right to share with us and to have changed.
  • Send blank forms and public documents only: no personal, health, financial or other confidential information. We don’t sign business associate agreements, and the service isn’t meant for health data.
  • Your documents stay yours. You let us work on them only to deliver your order, and we keep nothing of their content after the files are deleted.

What we do

We add and check the structure a screen reader needs: the reading order, headings, lists and tables, labels for every form field, descriptions for pictures that carry meaning, text for scanned pages, and the document’s title and language. We keep the look of every page. We do the work with our own tools, among them a custom AI repair agent, and a person checks it: How we use AI explains how.

Our standard, not “compliant”

We repair each document to be readable to our published standard, and check it automatically before it is delivered: the PDF/UA standard’s own checks, every form field labeled, every picture described, and the order the Tab key follows. Every PDF we deliver passes our free PDF check as Readable. No one can honestly certify a document as compliant with a law, so we never call it that. Meeting your own legal duties stays your responsibility.

Price and payment

  • We charge by the page: $5 for standard pages, and $10 for complex ones (fillable forms, tables and budgets, scanned pages, maps and charts). Rush costs 50% more.
  • The price is counted from your files and shown before you pay.
  • When you order, your card is held for the total, not charged. When the work is done, we charge only for the pages of the documents that pass our check, and release the rest of the hold.
  • A card hold lasts about a week. If the work takes longer, we charge the hold before it lapses and refund whatever doesn’t pass once it is decided.
  • Payment is taken by Stripe; we never see your card number. Every paid order gets an invoice, marked paid.

Making a form fillable

  • A form made only for printing, with blanks and no boxes to type into, can be made fillable on screen as an add-on, offered when our check finds such a form: $10 for each page with something to fill in, 50% more with rush, which then takes one business day longer.
  • We add a box to type into for every blank and a check box for every printed box, each labeled with its question. Parts marked for office use, signature lines and any part you ask us to leave stay as they are.
  • A person checks every fillable form before it goes to you. We charge the add-on only for the pages that get fields, and not at all if we deliver the form without them.

Optimized for the web

  • Every PDF we repair also comes back optimized for the web, free: photos larger than a screen needs are resized, and the file is set up so its first page opens while the rest downloads. Every tag, picture description and form field is kept. Maps, plans, charts and drawings keep their full detail.
  • If your PDFs have photos and you’d rather keep them as they are, choose “Keep pictures at full quality” when you order: your PDFs are still set up to open page by page, and every picture stays exactly as it is.
  • A readable PDF, which needs no repair, can be optimized on its own for $3. We charge it only if it comes back at least 20% smaller. A readable form made for printing can also be made fillable on its own, as above.

Delivery

  • Standard delivery is within 3 to 5 business days. Rush is by the date shown when you order, set by the size of the order.
  • Business days leave out weekends and US federal holidays, counted in US Eastern time.
  • If a rush order is late, you pay the standard rate: the difference isn’t charged.
  • Your repaired files are on your order’s page, linked from the delivery email.

Documents that don’t pass

A document we can’t make readable to our standard isn’t charged, and we tell you what stood in the way. Some documents, such as a page that is only a picture of a hand-drawn map, are better rebuilt as a web page.

Our guarantee

  • If you’re not satisfied with a document we delivered, tell us within 14 days of delivery and we fix it free. That covers everything we did to it: how it reads with a screen reader, its tags, picture descriptions and form fields, and the order the Tab key follows.
  • Changes to the document’s own content, or a new version of it, are a new order.
  • If we can’t fix it, we refund what you paid for that document. A refund goes back the way you paid, we email you when we make it, and your invoice is marked refunded.
  • A document that meets our standard isn’t refunded because your needs changed, but tell us anyway: we read every request.
  • Use our contact form or reply to your delivery email, with your order’s reference.

Your files

  • For an order placed online, your files reach us only when you pay; a batch’s, as Batch orders below says. We keep them while we work, and delete your originals and the repaired copies 30 days after delivery.
  • If an order isn’t paid, its files are deleted within a day at the latest.
  • Cloudflare stores them, and Anthropic receives the pages to work on; Anthropic doesn’t train its models on them and keeps what we send for up to 30 days for safety checks. If we use Adobe’s automatic tagging as a backup, Adobe receives them too. Stripe handles payment and never sees your documents. Our Privacy policy has the rest.

Batch orders

  • For more than 5 PDFs at a time, or more than 500 pages, start a batch order. You add the PDFs on the batch’s own private page, as files or as links to where they’re published, and we reply with a quote and a delivery date.
  • Unlike an order placed online, a batch’s files reach us before you pay, so we can count them for an exact quote. Only you have the page’s link. If no order follows, the files are deleted 30 days after you last add one.
  • A batch over 500 pages costs less a page: 10% off over 500 pages, 15% off from 2,000 pages, and 20% off from 5,000 pages, a complex page counting as two toward the size. The quote sets the price, and you pay only for the pages that pass our check.
  • A purchase order approves the work: we start when we have it. Without one, you accept the quote by replying to it.
  • We invoice after delivery, only for the pages that pass our check, due as your purchase order says or, without one, when the invoice comes. You can pay by card or bank transfer.
  • A deposit is optional, though we may ask for one depending on the job, such as a large batch. We send it as an invoice you can pay by card or bank transfer. It comes off the final invoice; if it comes to more than the final invoice, we refund the difference.

Our responsibility

We do the work with care and to the standard above. To the extent the law allows, our total responsibility for an order is limited to what you paid for it, and we aren’t responsible for indirect or consequential losses. Nothing here limits rights the law doesn’t let us limit.

Changes

If we change these terms, we date the change here. The terms in force when you ordered apply to that order.
